Mrs. Betty Jean Traylor has been employed in the Canton Public School District for twenty-three years. For the past twenty-one and one-half years, she has served in the position of personal executive secretary to the superintendent. Her core responsibilities are to perform and coordinate the superintendent’s office administrative activities, store, retrieve, and integrate information for dissemination to the district’s staff.
She is also responsible for a variety of administrative and clerical duties necessary to run this office efficiently. She serves as an information and communication manager for the superintendent’s office; plans and schedules meetings and appointments; organizes and maintains paper and electronic files; manages projects, conducts research; and disseminates information by using the telephone, mail services, web sites, and e-mail.
Mrs. Traylor has extensive knowledge of software applications, such as word processing, database management, etc., and is proficient in keyboarding. The position of personal secretary to the superintendent also requires one to be good in spelling, punctuation, grammar and oral communication. Interpersonal skills, discretion, good judgment, organizational/management ability, initiative and the ability to work independently are especially important in assisting the superintendent in the daily operations of his office. Mrs. Traylor’s degree in Secretarial Science prepared her well to execute these duties assigned to her position.
Developments in office technology are certain to continue, and they will bring about further changes in the work of secretaries. However, the duties of executive secretary to the superintendent are of a personal, interactive nature and technology cannot substitute for these personal skills. Mrs. Traylor truly enjoys her occupation and works to enhance her skills so that she can help the superintendent’s office operate efficiently and contribute as a valuable member of the Central Office team.
